Position Description

Primary Purpose: Provides comprehensive administrative support and backup to Pipeline Project Support division office and multiple field crew locations. This will include: creating records and maintaining files, preparing and coordinating reports, documents and correspondence, using and/or maintaining databases, ordering, receiving and maintaining office supplies and equipment and other facility supplies as needed. Essential Duties and Responsibilities: Monthly accounting of all project work on the Master Work Plan including actuals, forecasts, and variance explanations. Includes entry of the forecasts into the L04 datamart. Forecast and report department O&M and capital costs in Lawson, providing variance explanations for corporate reporting of single month and year end variances, and analysis and reporting of quarterly reports. Determine proper coding and enter into the PAWSII system over 3000 invoices per year. Assist in the preparation and monitoring of the RC budget. Enter time and corrections into the Payroll system. Maintain an accurate database of the entire PPS work equipment inventory/vehicles. Analyze and monitor use and coding of departmental fleet, purchasing and travel cards (over 40,000 transactions per year). Process adjustments as needed. Assist crew members in preparing ITS Compliance reports to track and analyze deficiencies which could result in out-of-compliance relative to PHMSA. Interface with Crew Leads, Supervisors, Estimators, Managers and Division Director to understand various types of work performed by crews to provide accurate analysis of contractor invoices, rental costs and purchases.

Position Requirements

Education Requirements: High School Diploma or GED with a minimum of 5 foursquare; experience in an Administrative/Office Manager role required. A four year degree in an accounting or business related discipline preferred. Any combination of work experience and education that management deems appropriate to fulfill the essential job duties. Job Requirements: Must possess advanced proficiency level in Microsoft Office Products, including Word, Excel, and Power Point. Satisfactory driving record as determined by the Company and a current, valid State driver's license. Must possess strong analytical skills. Office management skills are a plus. Must have the ability to organize and prioritize daily work and maintain strict confidentiality. Must be able to communicate and work cooperatively with various levels of internal management and staff, as well as outside clients and vendors to resolve issues while adhering to deadlines. Must be flexible and have the ability to set priorities and coordinate multiple projects. Must possess and maintain a valid driver's license and a driving record satisfactory to the company and its insurers. • Mandatory drug screen and background check upon hire.
